JOB TITLE: Construction Administrator
REPORTS TO: Chief Estimator/ Construction Operations Manager
JOB DESCRIPTION SUMMARY:
The Construction Administrator will work closely with and assist the Estimating and Construction department staff on all stages of public works construction projects.
RESPONSIBILITIES:
• Coordinating pickup/delivery of project documents/bid packages to/from various plan houses and owners.
• Attending Pre-Bid Meetings, Bid Openings, and other meetings as required.
• Organize and compile all documentation required in connection with the accurate preparation of bid packages, quotes, change orders, etc.
• Updating and maintaining the Bid Calendar with direction from the Chief Estimator.
• Updating and maintaining a database of M/W/DBE businesses.
• Prepare take offs, solicit quotes from subcontractors and suppliers, and compare and verify those scopes of work or supply.
• Assist in coordinating the handoff process from Estimating to the Project Management Team
• Assist with the post-bid buyout process.
• Create and maintain project schedules with direction from Project Managers.
• Preparation, organization, and tracking of submittal documentation.
• Entry of field data into tracking software.
• Calculation and tracking of daily contract pay item quantities.
• Prepare billings with direction from Project Managers.
• Attend trainings and stay up to date on current industry trends.
• Anything else as deemed necessary by the Chief Estimator or Construction Operations Manager

SKILLS/EXPERIENCE:
• Must be able to organize and prioritize multiple projects and tasks at once.
• Ability to read and interpret plans and specifications is a plus.
• Excellent written and verbal communication skills with a commitment to quality and detail is a must.
• Ability to work efficiently with computers.
• Proficiency with the Microsoft Office Suite of Products.
• Knowledge of B2W Estimate/Track, PlanSwift, InSite, or Trimble Business Center is desirable but not required.
• Experience in Public Works Construction is desirable but not required.
EDUCATION:
• Minimum: High school diploma or equivalent.
